1) Introduction

Careeradvisor is committed to protecting the personal data provided by the people it collaborates with.

Collected data can come from: open/public sources containing contacts and CVs, from potential candidates, from direct communications or referrals, from interviews and interactions with potential candidates or business cards received following professional interactions.

To ensure that your personal data is safe, we regularly communicate the personal data protection policy as well as the work instructions related to this aspect, to all candidates, clients and Careeradvisor employees and follow the strict application of the measures protection of private life within the company.

This privacy policy describes our practices regarding the collection, use and transfer of data communicated directly to our firm, as well as the use of personal data collected by Careeradvisor from public sources for the purpose of providing our recruitment services.

If, for any reason, the terms established in this Personal Data Protection Policy are not acceptable to you, you have the opportunity to communicate this to us and possibly request the explicit deletion of your data, by sending a message to the address by e-mail dpo@careeradvisor.ro.

2) Personal Information Collected

Careeradvisor offers recruitment services and for this purpose collects and processes personal data through the Invenias platform, which represents a database with a high level of security, traceability and confidentiality, accessible in a controlled manner to Careeradvisor employees.

Careeradvisor treats personal data in a manner compatible with the requirements of EU Directive 95/46 and those of Regulation 679/2016.

Careeradvisor does not request or process personal data from special categories but only non-sensitive data necessary and relevant for the recruitment process, unless it is legally necessary to do so at a later stage of the process search and recruitment.

Data considered sensitive/special could be, but is not limited to, information relating to race or ethnicity, political opinions, religion, trade union membership, health, sexual preferences or criminal record.

The data collected and processed by us includes personal data such as: professional experience, career history, education, CV, salary & benefits expectations, recommendations/references and contact details.

After communicating your personal data, you will receive an e-mail informing you of the legal basis and purpose of processing and storing your data, following that, when you will be involved in a recruitment process through us you will be required to give us your explicit and informed consent to process and communicate this information to Careeradvisor clients in order to be considered for the respective project.

3) Use and Disclosure of Personal Information

In accordance with the requirements of Careeradvisor’s clients, we may present you as potential candidates to prospective employers/clients of Careeradvisor, and your personal information may be disclosed to clients and/or transferred to Careeradvisor’s partners who ensure a similar level of personal data protection , with the one presented in this Personal Data Protection Policy.

As a rule, we provide personal information about candidates to potential employers / clients or referral sources only if the candidate has authorized us, by providing explicit consent, to do so.

Exceptionally, we select potential candidates by using open, public sources, and in those cases, public personal data of potential candidates can be provided to the client without the candidate’s prior request or information.

As we provide our services in multiple locations globally, we may transfer your information to these locations for the purpose of providing the services. If you are habitually resident in the European Economic Area (“EEA”), we inform you that we may transfer your data to the United States based on the Standard Contractual Clauses – Authorized-Operator and the decision of the European Commission on the adequacy of the level of protection for data flows between the EU and the USA (EU-U.S. Data Privacy Framework) from 10.07.2023

Ways we use and/or share your personal data:

Careeradvisor may use the personal information collected about potential candidates to identify career opportunities that we consider relevant to the candidate and our employer / client. We then provide this personal data to our prospective employer / client as per the agreed requirements. Based on legitimate interest we reserve the right to contact potential candidates regarding such opportunities.

The information received by Careeradvisor received from clients, including contact data, is collected, kept and used, at the level of protection provided for candidates’ personal data.

The use of personal information can also be done for updating data, assessment/self-assessment tests, personality tests, answers to requests

Personal data may also be used for proposals, engagement letters, presentations and possible information regarding Career Advisor actions that may be of interest to the data subjects.

The personal information collected by Careeradvisor is used only for the stated purposes.

Careeradvisor does not sell or transfer your personal information to third parties, except as required by law.

If at any time we decide to use your personal data in a manner different from that stated at the time it was collected, we will do so publicly, notify you and give you a choice as to whether or not we can use your information in this different way.

If Careeradvisor is obliged by a legal act (law, statute, regulation, decision), ordinance or court ruling to disclose personal data, compliance will be carried out without the information or consent of the person concerned.

4) Information security

To prevent unauthorized access, maintain data accuracy and ensure fair use of data, we implement reasonable and appropriate physical, IT and organizational security measures to effectively protect all personal data we collect/store/process.

In order to improve the measures presented in the current Personal Data Protection Policy, we will make every effort to ensure that the data is correct, complete, current and relevant for the intended use, and the changes that will occur will be described in the updated version.

Careeradvisor will periodically test and review the effectiveness of measures to protect data against the risks of loss, incorrect use, unauthorized access, disclosure, modification or deletion/destruction without right.

Your provision of personal information is entirely voluntary and you have the right not to provide personal information.

5) Changes to the personal data protection policy

Careeradvisor reserves the right to change the Privacy Policy at any time and for any reason. If there are significant changes, they will be reflected in due time in the updated version of this document.

You can periodically return to the personal data protection policy to be informed about the newest version of this document.

6) The duration of storage/processing of personal data 

is 5 years, after which consent is requested again, and in the absence of it, the data will be deleted.
